The Importance of Backing Up Your Files When Traveling

pittsburgh limousine, limo service pittsburghWhen you are hard at work at your office, there may already be backup procedures in place to ensure that all your crucial data is stored and copied in multiple locations in case something goes wrong with your local copy. In fact, some businesses have their IT departments set up backup systems that are so convenient that you barely register that they are occurring. All you need to know is that your files are safe in case of a catastrophic hard drive failure.

However, when you travel for your company, you may not have the same backup systems in place. This can be a problem if your only copy of a file somehow goes missing or is damaged and you cannot easily locate a backup from where you are. Imagine traveling thousands of miles for a big series of meetings only to discover that a crucial document is unavailable.

Let’s assume that you already make a point of using a password to protect your laptop, tablet computer and smartphone so that if the device is lost or stolen, you can rest assured that a criminal cannot easily access your data. This alone will not get you any closer to retrieving your files, though. You’ll need to restore them from a backup.

So, while you’re on the road, you will want to set up a system where you back up your most important files on a regular basis.

One easy way to do this is to send a copy of the file as an attachment to an email to yourself. This would let you retrieve the document from any location that has Internet access, assuming you can access your email through a Webmail page (many systems allow for this).

You can also insert a USB flash drive into your laptop, copy the files, and then store the flash drive separately from your computer (such as by keeping it on your keychain). 

Another good option is to use a cloud computing service, where you can drop your files into an icon on your desktop and they will be synced with a remote server for later retrieval.

By taking a few minutes to take care of your important files and back them up in a redundant fashion, you will set your mind at ease because you will know you can access your data even if you lose your phone, laptop or tablet while on travel.
